Uploading your course to the Talent LMS is the final step in the course creation process. Once a course goes live on Talent, it is available for users to purchase and take. In this guide, we will cover the course uploading process for:
- New OSHA, Canada, and CalOSHA Courses
- Trainer certification courses
- Course rewrites and updates
But first, let’s discuss how to log in. The login credentials for Talent are saved in the company Google account and should autofill if you are signed into Google. If they don't immediately appear, talk to your supervisor to get the Google login credentials.
Note: After logging in, the drop-down at the top of the screen next to “Arthur Lee | Administrator” allows you to toggle between different user modes. If you hover over the drop-down, you can choose between Administrator, Instructor, and Learner modes. When uploading to Talent, stay in Administrator or Instructor mode.
OSHA, Canada, & CalOSHA Courses
Creating a new OSHA, Canada, or CalOSHA course can be broken into four major phases:
- Cloning the correct course template
- Editing the course overview
- Editing the course content
- Making the course active
Clone the Correct Template
On the Home Page, click “Courses.” Then, use the search bar in the bottom right corner to search "template " and locate the appropriate template for your course. You may choose from the following templates:
- CalOSHA - Template - DO NOT SAVE OVER
- Canada - Template - DO NOT SAVE OVER
- Canada - TTT Template - DO NOT SAVE OVER
- OSHA - Template - DO NOT SAVE OVER
- OSHA - TTT Template - DO NOT SAVE OVER
- Spanish - Template - DO NOT SAVE OVER
- Spanish - TTT Template - DO NOT SAVE OVER
After locating the appropriate template, verify that you are in Administrator mode.
In Administrator mode, you can hover your cursor under Options and see the “Clone” button. Click this to clone whichever template you will be building off of. A menu will appear that says "Are you sure you want to clone the course...?" Click "Clone."
Once again, hover under the Options menu next to the clone you've just created and click the "Edit" button.
Edit the Course Overview
On the course overview page, you will need to update the course name, course image, description, and price. The rest of the settings are pre-selected for you and do not need to be altered.
Course Name
The course name must follow our Talent naming conventions. It will always have OSHA, Canada, CalOSHA, or some other applicable standards organization at the beginning of the title, followed by a space, a dash, and another space. Then, the course topic itself comes after. Below are a few examples of how the course names should look:
- Canada - Yard Truck
- OSHA - MEWP (Aerial Lift)
- CalOSHA - Sexual Harassment - Supervisor
Course Image
Click "Select image" in the right corner to open up the File Explorer and locate an appropriate product image to accompany the course. The course image should be saved into this folder so that the designers can use it when they create the website thumbnail later: M:\05- Company Use\Web Department\Design\Updated Product Images\8-Product Image Thumbnails.
You will need to shrink the size of the image before adding it to a course in Talent. The two best ways to do this are by using TinyPNG and ReduceImages.
Description
The course description has blank spaces that you need to fill in specific to this course. The blanks in the first sentence should be filled in with the regulatory body that applies to the course and who the training is intended for.
- This is a USACE-compliant, I-CAB recognized safety training course intended for employees and contractors working on a military project.
- This is an OSHA-compliant, I-CAB recognized safety training course intended for employees and employers that work in medical facilities.
- This is a Canada-compliant, I-CAB recognized safety training course intended for competent persons supervising MEWP operations.
The blank in the second sentence should be filled in with the module titles. The blank in the last sentence should be filled in with the training topic name without "OSHA," "Canada," "Spanish," or "CalOSHA" in the title.
Example: This is a Canada-compliant, I-CAB recognized safety training course intended for bulldozer operators. Topics covered in this training include anatomy, stability, safe operations, and common hazards. This course meets the classroom requirement for occupational safety training. It also includes a proficiency checklist that employers can use to perform a practical evaluation. Upon completion, trainees will be able to download and print a certificate or wallet card to show that they have completed the Bulldozer training.

Adjust the price of your training according to the specifications in this chart. If you have unique training that doesn't fall under these categories, speak with your supervisor.
To save the changes you've made up to this point, click the green "Update course" button at the bottom of the page. You will then need to search the course catalog again to navigate back to the course overview page. From the updated overview page, click "Go to course content."
Edit the Course Content
On this page, you will need to add the SCORM 1.2 file(s), the practical evaluation, and the exam questions. There will be some items pre-loaded into the course, including the "Practical Evaluation Form," "We would like your feedback!," and "Review Us & Download Certificate." Do not alter these in any way.
The "Practical Evaluation Form" page contains a disclaimer that users must be observed working safely upon completion of the online course before they can be considered certified. They are able to download the PDF of the practical evaluation from the Files on that page.
The "We would like your feedback!" option links the user to a survey they can use to record their impressions of our company and any suggestions they have to improve the course.
The "Review Us & Download Certificate" page links the user to our Google business profile so they can leave a Google review. After clicking through this page, the user is able to access their certificate. Because our courses have to be completed in a linear fashion, this page must always fall at the very end of the course.
SCORM File
To add the SCORM file, click "Add" and then "SCORM | xAPI | cmi5." Type in the unit name, which will be the name of the training topic without "OSHA," "Canada," "Spanish," or "CalOSHA" in the title. Then click the drop-down next to "Show as" and select "Pop-up." Finally, click "Upload a SCORM, xAPI, or cmi5 zip file" and navigate to the appropriate SCORM 1.2 file(s) stored in this folder: K:\1__Online\1 - Online Training\1-eLearning Courses\7 - SCORM 1.2.
The upload may take a few minutes. Once it's completed, click "Save & View" to take a look at the course and verify that it uploaded properly. If the file is still converting, the pop-up may display the message "File is under process." Just exit the window, wait a few minutes, refresh the page, and try again.
Back on the course content page, move the SCORM file so it falls right between the "Training Presentation" section and the "Final Exam" section. To do so, click "Reorder" at the top, drag the SCORM file, and then click "Reorder" again to exit that mode.
Important: If the SCORM file has to be uploaded in separately published modules, the files should have " - Module 1," " - Module 2," and so on in the title. All SCORM files in a regular course should fall between the sections titled "Training Presentation" and "Final Exam." Trainer certification courses will look a little different, however.
Practical Evaluation
Users need access to a printable PDF of the practical evaluation (also known as the observation form). To add this to the course, click "Files" on the right-hand menu. Select "Choose files to upload or drag-and-drop here" and navigate to the Practical Evaluation PDF inside the kit. Then select "Open." Once the file has finished uploading, click the plus (+) sign under "Share" to make it viewable to the end user.
Final Exam
Click "Final Exam" to open the pre-loaded final exam. In the upper right corner, select "Edit." This will pull up the question editing page. You can delete the question titled "DELETE THIS QUESTION" by hovering under "Options" and clicking the X that appears.
To add the Aiken exam questions, click "Import" at the bottom of the menu on the right. In the Data box, paste the contents of the finalized Aiken file. Then click "Save." Finally, you should click "Save and view" in the bottom left corner and click through the final exam to verify that the questions uploaded properly.
Note: You can edit questions once they are imported into the Final Exam by hovering under "Options" and clicking the "Edit" button, which looks like a pencil. Be sure to update the Aiken exam with any edits you make on Talent.
Make the Course Active
The final step is to make your course active. Return to the course overview page and check off "Active" under the description box. Uncheck "Hide from course catalog." Click "Update course" in the bottom right corner to finalize your changes.
Add to the HardHatTrainingCanada Branch
For Canada courses only, you need to add the course to the hardhattrainingcanada branch. In Administrator view, you should see "Branches" at the top of the course overview page. Click this option and type "hardhattrainingcanada" into the search bar at the bottom right corner. Once you've located the branch, click the plus (+) sign under options to add your course to the branch.
Trainer Certification Courses
Uploading a trainer certification course will be similar to the upload process for a regular course, with a few minor adjustments. The upload follows the same four major phases:
- Cloning the correct course template
- Editing the course overview
- Editing the course content
- Making the course active
Clone the Correct Trainer Certification Course Template
Clone the correct trainer certification course template using the steps you followed to make the regular course.
Edit the Trainer Certification Course Overview
As you edit the course overview, follow the same steps as editing the course overview for a regular course, with two exceptions. First, a trainer certification course will always have " - Trainer Certification" at the end of the name. Second, the price will already be there for you so you will not need to change it.
Edit the Trainer Certification Course Content
In this phase, you will be able to skip some of the steps you took to create the regular course using the cloning feature in Talent.
Clone the SCORM File(s) & Final Exam
To add the SCORM file and the final exam from the regular course, on the course content page go to "Add" and then "Clone from another course." In "Select course," search for the regular OSHA, Canada, Spanish, or CalOSHA version. Then in "Select Unit," pick the SCORM file. Click the drop-down next to "Clone" and select "and clone another." Then, click the item titled "Final Exam" from the "Select unit" dropdown. Finally, click "Clone." Use the reorder function to move the SCORM file between the sections titled "Training Presentation" and "Final Exam," and move the final exam right after the section titled "Final Exam." Last, hover next to the SCORM file and click "change name" so that you can delete "(clone)" from the end of the title.

Note: There are two SCORM files inside a trainer certification course. The first one is titled "Trainer Module" and should always go between the sections titled "Trainer Overview" and "Training Presentation." The second one is the clone you get from the regular course and should always go between the sections titled "Training Presentation" and "Final Exam."
Upload the Practical Evaluation
You will need to upload the practical evaluation to the course files and share it with the end user by following the same steps you took to make the regular course.
Make the Course Active
Last, but not least, make the course active following the same steps you took to make the regular course.
Add to the HardHatTrainingCanada Branch
For Canadian trainer certification courses only, add the course to the hardhattrainingcanada branch following the same steps you took for the regular course.
Course Rewrites & Updates
When you are rewriting a course, the uploading process is unique. You will not be creating a new course. Instead, you'll be making changes to an existing course's overview and content before making it active again.
Important: Do not create new courses in Talent for a rewrite! If we created a new course each time it was updated or rewritten, Talent would have thousands of old inactive courses. And, we cannot delete inactive courses until at least three years after the last user's completion of the course because users have to be able to access their certificate until its expiration. That is why we choose to update the existing course instead.
Update the Course Overview
Verify that you are in Administrator view. Locate the correct course on Talent and open the course overview page. Immediately uncheck "Active" and check "Hide from course catalog" under the Description box. This will make the course inaccessible to users while you are editing it.
On a case-by-case basis, you may need to update the title. This only happens in the case that a new title has been reviewed and approved by management. Additionally, double-check the description for the correct module titles in the sentence that reads "Topics covered in this training include..." Make updates here as needed.
Click "Update course" at the bottom of the page and then navigate back into the course after it saves.
Update the Course Content
For a rewritten course, you will need to update the SCORM file, the final exam, and the practical evaluation PDF. When you're performing simple updates, you may only need to do one or two of these steps. After updating whichever aspect of the course you need to, skip to the synchronize users step.
Replace the SCORM File
To begin, you can delete the old SCORM file from the course content page by hovering next to the unit and selecting "delete." Now, upload a new SCORM file following the same steps you would with a regular course. |
Replace the Final Exam
Hover next to "Final Exam" and click "edit." Delete all of the old exam questions that say "Added" under the Use column by hovering under "Options" and selecting "Delete."
Next, import all of the new questions from the Aiken exam you edited by following the steps you took to make the regular course.
Replace the Practical Evaluation PDF
Go to "Files" on the right-hand menu. Delete the old practical evaluation PDF by hovering under "Options" and selecting "Delete." Add the new practical evaluation PDF by following the same steps you took to make the regular course.
Synchronize the Users
Go to "Users & Progress" on the right-hand menu. Click "Synchronize all" at the top of the screen. Check off "Prevent syncing for users that have completed the course." Click "Synchronize." This step updates all the users who are assigned to the course but have not completed it to the newest version that you just completed. |
Make the Course Active
Make the course active following the same steps you took to make the regular course.
Add to the HardHatTrainingCanada Branch
For Canadian courses and Canadian trainer certification courses only, verify that the course has been added to the hardhattrainingcanada branch. If it hasn't been already, add the course to the hardhattrainingcanada branch following the same steps you took for the regular course.
