On occasion, management may decide to stop selling a particular course. You will need to deactivate the course from the LMS and coordinate with the web department so they can take the product page down from the website. This will prevent any more customers from purchasing the course.
Kits
When it's time to retire a kit, you will simply need to copy the files to our external hard drive and remove it from our company computer drives. Talk to the learning development manager for access to the external hard drive.
Online Courses
While we can stop selling online courses at any time, our users still have to be able to access their certificates for three years after the date they completed their training. That means that we can't officially delete a course from the LMS for at least three years following the most recent user's completion of the course. Until then, we can deactivate it on the LMS instead.
Inactive Courses
Deactivating a course on Talent makes it impossible for new users to enroll in the course. Users who previously completed the course can still view their scores and download their certificates from it.
When you make a course inactive in preparation for its eventual deletion, you will need to change the title to indicate to the LMS administrators that this course is eventually going to be deleted.
At the end of the title, inside parentheses, type the letters "DL" followed by the exact date the course can officially be deleted. You should write out the date as MMDDYYYY, without any separating slashes or hyphens.
Example: Management decides to stop selling the "OSHA - Hazard Communication (HazCom, WHMIS, GHS) - Competent Person" course. You go into the course and note that the most recent user finished his or her training on February 2, 2022. That means the course cannot be deleted until February 2, 2025. After marking the course inactive on the Course Overview page, you would change the course title to "OSHA - Hazard Communication (HazCom, WHMIS, GHS) - Competent Person (DL02022025)" to denote that it can be deleted on February 2, 2025.
Finishing Touches
Once you've followed these steps, do not forget that you need to communicate these changes to the web department. You also need to make any necessary updates to the Course Master List spreadsheet.
