After setting up a new branch, as described in the Creating a Branch in Talent article, you will need to add the appropriate online training courses to that branch. By adding courses to a branch, you give branch managers the ability to directly manage the safety training that their employees take in Talent.
To get started, you will need an excel sheet titled import-samples. You can find this document in the following file path in the S-drive:
S:\2 - Office, Support\Excel Sheets
Whenever you need to import information in Talent, this will be your go-to file for adding courses to branches, adding multiple users simultaneously to Talent, and assigning courses to multiple users on Talent.
At the bottom of the screen in Excel, there are multiple sheets you can use to import information into Talent. To add courses to a branch, you will open the Course-to-branches sheet.
Depending on the needs of the customer, you can add different course categories to their branch. Below is a list of all the course categories we currently sell.
- OSHA English
- OSHA Spanish
- CAL/OSHA
- CANADA
- TTT OSHA
- TTT OSHA Spanish
- TTT CANADA
In most cases, each branch should have only one category of courses added to their branch. Although, sometimes some branches will need both OSHA English and OSHA Spanish courses. Extra categories should be imported one at a time.
Next, copy and paste the branch name or tag into the branch column as shown below. The branch name must be filled in down the whole column to correctly add the courses to the correct branch.
To fill the whole column you can highlight the branch box, hover your cursor over the bottom right corner of the box, and click and drag until you reach the bottom of the course list.
Next, you will want to copy the columns titled Coursetobranches and branch as shown in the picture above. A quick way to copy is by clicking Ctrl+C. To paste you can click Ctrl+V. After you have copied both columns, you will go into Talent and click Import - Export to import the courses to the branch.
After you click import, you can paste the course cells you just copied into the Import description box. Next, click the green import button at the bottom-left corner of the window. If Talent shows an error message after importing, you will need to double-check the excel file to ensure that all the boxes are correctly filled. After you have corrected any mistakes, you can try importing the courses again.
This process may take some practice to get used to, but it will save you a lot of time in the long run. If you have any questions or are confused about this process, be sure to contact your team lead. We have needed help at some point, so we will be more than willing to help.
